The record keeps itself

Automatic capture, so nobody types up a call again.

Calls, email, meetings and messages become the record as they happen, across every channel a desk actually runs on.

What automatic capture is

Automatic capture means conversations become structured records without anyone writing them up. Signals captures calls, email, meetings and messages, then files what was said against the candidate, company and job it relates to. A transcript is a document someone has to read. A captured record is data on the profile, so the next recruiter to open it sees what happened without going looking.

What it is

A desk produces its record as a by-product of the work, or it does not produce one at all. Every CRM asks a recruiter to go back over a conversation and type up what mattered, which is why the fields are half filled by Thursday and empty by Friday. Capture removes the asking. Because Signals is AI-native, the conversation itself is the input, and the candidate, company and job records are what comes out of it.

How it works

  1. 01

    The conversation happens

A call, an email, a meeting, a WhatsApp message. Nobody starts a recorder or opens the CRM first.

  2. 02

It is captured on whatever channel it was on

Calls and meetings, email, and messages. One desk runs on several channels and the record should not depend on which one was used.

  3. 03

It is structured onto the right records

Notice period onto the candidate. A new headcount onto the company. A change to the brief onto the job. This is the step that makes it a record rather than a transcript.

  4. 04

It becomes findable in plain English

The full transcript is kept, not just a summary. Ask what a client said about salary six weeks ago and get the sentence they said it in, not a list of files to open.

What it looks like

Nobody typed this in. It is on the record because the call happened.

What it means on the desk

The evening write up disappears, because there is nothing to write up.

A colleague picking up your desk sees what was said, not that a call took place.

Six weeks later the detail is still there, in the words it was said in.

Where it fits

Notes written for you. What capture produces once the conversation ends.

Ask Signals. How you get an answer out of everything that has been captured.

AI-native. Why capture is the foundation rather than a feature.

Common questions

Transcription produces a document. A transcript sits as a file that someone has to open, read and copy from before it is any use to the desk. Automatic capture produces a record. The notice period, the salary, the new headcount and the change to the brief are written onto the candidate, company and job as data, so the information is on the profile rather than in a file attached to it.

Both are kept. The full transcript of every call is retained on the record, and the short note is derived from it. That is what makes a search reach the exact sentence rather than someone's paraphrase, and it is why any line in a note can be checked against what was actually said.

Calls, meetings, email and messages. Voice calls and video meetings are captured with connected calling and meeting tools, email through the connected mailbox, and messaging including WhatsApp and LinkedIn messages. WhatsApp is captured on both business and personal accounts. Capture is switched on per channel, so a workspace can run capture on calls and email and leave messaging off until it is ready.

Usually yes, and it depends. Recording and consent rules differ across Hong Kong, Singapore and Australia, and Australian requirements vary by state. Capture is configurable per workspace and per channel, including recorded announcements and per participant controls, so it can be set up to match local practice. Agencies remain responsible for meeting the rules in the markets they operate in. This is not legal advice.

Yes, both are possible. Every captured field can be corrected on the record, and a recruiter with the right permission can delete a captured conversation and the entries it produced. Edits are attributed and the previous value stays in the record history, so a correction is visible as a correction rather than a silent overwrite.

Yes. Signals captures WhatsApp on both business and personal accounts, so a team that runs candidate and client threads from personal numbers does not have to move them. A recruiter connects the account they already use and the conversations on it are captured onto the record. Capture is per account, so an account nobody has connected stays off the record.

In your workspace region. A workspace is provisioned in a chosen region, and captured records, transcripts and audio are stored there, encrypted in transit and at rest. Retention is set per workspace and per channel, so audio can be discarded on a shorter clock than the structured record it produced. Access follows the same permissions as the rest of the CRM.
